Eligibility to Show Artwork at VACD
Individual artists and art organizations from the North Texas area are eligible to show their artwork at the VACD Art Gallery in Uptown Dallas. Both individual artists and art organizations must be a current member of VACD. Click here for more specific details about becoming a member of VACD. VACD does not provide exhibition space for solo exhibiitions. A small group show must have at least four artists. VACD will help individual artist members when possible to identify other community artists to collaborate on small group shows. In general, exhibits typically span a single month, with the show opening during the first of the month and ending near or at the end of the month.
Entry Deadlines
The upcoming exhibition schedule for 2008 is now being established. Detailed information about available dates will be posted on this website in the near future. Proposals for exhibitions must be submitted at least 90 days in advance of the proposed show dates. For example, if your group is interested in exhibiting at VACD during the month of March 2008, VACD must have received a completed proposal no later than December 1, 2007.
Requirements for Exhibiting at VACD
- Leadership: Exhibition groups must identify a single contact to act as the primary exhibit coordinator and contact with the group. This person is responsible for communication between VACD and the individual artists and ensuring deadlines are met.
- Sitting: The gallery must be manned at all times when the exhibit is open. The hours are Friday and Saturday from 11 am to 6 pm. The sitter does not necessarily have to be the artist, but someone who is familiar with your organization or small group and be able to communicate well with the public.
- Commissions: The commission amount for VACD is 20%, so prices should reflect this. If a piece is sold, it must stay at the exhibition until the show is over.
- Curatation / Judging of Artwork: The space can accommodate somewhere between 30 to 40 pieces of art, depending on the dimensions of the artwork. Organizations are strongly encouraged to exhibit works that have been juried by an outside source. VACD requests the opportunity to help groups select works that meet VACD standards of professionalism, artistic expression, uniqueness and presentation.
- Hanging Fee: VACD is charging a 5$ hanging fee per piece entered into the exhibition.
- Exhibition Standards: The artwork exhibited in the gallery must meet gallery standards of being properly framed and ready to hang. VACD reserves the right to reject pieces which do not meet proper gallery standards for exhibition.
- 3- D Works: VACD has only a limited ability to accommodate sculpture. The artist and/or group must plan to provide their own base/ stand for 3-D works.
- Artwork Volumn: The space can accommodate somewhere between 30 to 40 pieces of art, depending on the dimensions of the artwork. Participants are encouraged to visit the gallery and view the space prior to submitting a proposal. Proposals which submit at least 30 pieces will be given greater consideration for selection.
- Deadlines:
- The proposal deadline to be received by VACD is no less than 90 days prior to the proposed date.
- A complete list of artwork planned for the exhibition no less than 2 weeks prior to the exhibition hanging date.
- Digital images of artwork during the date of artwork intake. This can be done with a digital camera, the formatting is not particularly important as long as the image is of good quality and represents the image well. A CD of these images is preferred.
- Optional Additional Use of Gallery Space: We encourage each organization or group to do as much with the space to promote gallery visitors as possible. Please be creative and let VACD know how we may be able to help you in your endeavor. For example you may have demonstrations in the gallery on weekends, coordinate a talk with vendors, or incorporated other art modalities into your space (such as inviting a quartet to perform in the space). During the spring and summer, you may want to expand your venue to include not only the gallery, but have additional artists use the parking lot space for tents / exhibits. VACD wants your artwork to be seen and will work with the organization to try to bring as many people as possible into the gallery.
Proposal Requirements for Exhibitors
The proposal must include the following information:
- The title of the proposed exhibition along with a brief description of the exhibit vision or theme.
- The name of the contact person, and relavent contact information including email address, mailing address and a daytime phone number.
- For small groups, provide the names and email addresses of all participating artists, along with a biography of each artist. Organizations are requested to provide a descriptive summary of the goals of the organization, years in existence, and other details related to the purpose of the art group.
- The preferred exhibition month, including the following dates:
- artwork intake date,
- exhibit opening date
- reception date,
- exhbit closing date and
- final art pick-up date
- Small groups should submit at least 5 images of each artist's work. Established art organizations should provide information on previous exhibits, such as prior show catalogs.
- Details of any juroring process (if one is planned) for the VACD exhibit. Small groups should be willing to provide at least 30 to 40 pieces of artwork (depending on the relative size of works) in order to ensure the gallery is adequately filled with artwork.
- Plans for additional use of the VACD Gallery space, including expectations of how VACD can facilitate your plans.

VACD Responsibilities
- Use of the VACD gallery during the time frame, and opening and closing of the gallery space for during gallery hours
- Provide for a reception for the exhibit. Typically these receptions are on Friday evening from 6 pm until 9 pm.
During months when the Uptown Gallery Association has scheduled a Uptown Gallery Art Walk, the hours of the reception will coincide with this prescheduled event.
- Accept artwork on the prearranged intake date, hang the artwork, assist with disassembling the show and pickup of artwork.
- Creation of artwork labels and a formated list of artwork on display .
- Posting of artwork on the VACD website to include the majority of items on display during the exhibition.
- Link from the VACD website to each individual member and organization website.
- VACD will send out an e-vite (electronic invitation) to your email list. However, we need well in advance a list of your members. It is much preferred if the list can be in electronic format, saved as a text file (.txt) a comma delimited file (.csv) or an excel file (.xls).
